The LCPL Lab System is where lab report files get uploaded, reviewed, approved, and automatically emailed out to the relevant people. What you can do in it depends on your assigned role.

1 Welcome

The LCPL Lab System is where lab report files get uploaded, reviewed, approved, and automatically emailed out to the relevant people. What you can do in it depends on your assigned role:

2 Logging In

Open the system's web address

Provided by your Admin.

Enter your email and password

Given to you when your account was created.

Click "Sign In"

You'll land on your Dashboard.

2.1 If you're asked to change your password

The first time you log in (or any time your Admin resets your account), you'll see a pop-up asking you to set a new password before you can do anything else. Enter a password at least 6 characters long, confirm it, and submit โ€” you won't be able to close this pop-up or use the system until you do.

There is no "forgot password" link on the login page. If you're ever locked out, contact your Admin directly and ask them to reset your account.

3 Uploading a Report (Subordinate)

If your account has upload access, you'll see an "Upload Report" link in the sidebar.

Click "Upload Report"

Enter a Report Title

Something clear and specific, e.g. "Batch #405 Analysis" โ€” this is what your Manager will see first when reviewing it.

Select the Customer

Choose which company this report is for.

Add a description (optional)

Any notes, test parameters, or context that would help your Manager review it faster.

Attach your file(s)

Drag and drop them onto the upload box, or click it to browse. You can select more than one file at once. Accepted types: PDF, Word, Excel, JPG, PNG. Each file must be under 20MB.

Click "Upload & Notify Manager"

Your files are submitted as one batch and your Manager is notified.

๐Ÿ“Œ Note

The notification email doesn't send instantly โ€” it's queued and typically goes out within a minute or two. Your upload is recorded immediately either way; you don't need to wait on the page.

3.1 Checking on what you've uploaded

Your Dashboard shows your most recent uploads and their current status. See Section 5 for what each status means.

4 Reviewing & Approving Reports (Manager)

If your account can approve reports, you'll see an "Approvals" link in the sidebar with a red number badge showing how many batches are waiting on you.

Click "Approvals"

You'll see every batch currently waiting for a decision, with its title, description, customer, and how many files it contains.

Open and review the files if needed

Click through to check the actual documents before deciding.

Click "Approve" or "Reject"

This takes effect immediately.

4.1 If you Approve

The batch is marked Approved right away, and an email with the report files attached is queued to go out to the internal team and the customer. Once that email actually sends (usually within a few minutes), the status updates to Sent automatically.

4.2 If you Reject

The batch is marked Rejected and no email goes out. It's a good idea to explain why in the remarks if the system prompts for one โ€” this helps the Admin (or the person who uploaded it) understand what needs to change.

5 Understanding Report Statuses

ApprovedA Manager/Admin has approved it. The notification email is on its way.
SentThe approval email has been delivered, and the report now appears in the Report Archive.
RejectedA Manager/Admin declined it. It will not be emailed out.
๐Ÿ’ก Tip

It's normal for a batch to sit in "Approved" for a short time before becoming "Sent" โ€” the email is sent by a background process rather than instantly. If it stays "Approved" for an unusually long time, let your Admin know.

6 Browsing the Report Archive

Every approved report, from any customer, is available in Report Archive (New) in the sidebar โ€” available to everyone with a login, regardless of role.

Click "Report Archive (New)"

Reports are grouped by year, then by month.

Expand a year to see its months

Click the year heading to expand or collapse it.

Click "View" next to any report

Opens the file in a new tab.

You may also see a "Report Archive (Old)" link โ€” this opens a separate, older archive system in a new tab, kept available while historical records are consolidated into this system.

7 Frequently Asked Questions

I uploaded a report. How long until my Manager sees it?

Your Manager can see it in their Approvals list immediately. The email notification to them typically goes out within a minute or two.

Can I edit or delete a report after I've uploaded it?

No, not yourself. Contact your Manager or Admin if a correction is needed โ€” an Admin can delete a report if it truly needs to be removed and resubmitted.

My batch was rejected. What do I do?

Check the rejection remarks if any were provided, make the necessary corrections, and upload the corrected files as a brand-new batch.

Can I see reports for other departments or customers?

Yes โ€” the Report Archive currently shows approved reports for every customer to any logged-in user, not just the ones you've worked with.

I forgot my password.

Contact your Admin directly and ask them to reset your account (see Section 2.1).
